Intrasystems is a trading name of Axis House Ltd and this policy sets out how we (Axis House Ltd, the data controller) uses and protects your data. The processing of personal data is governed by the General Data Protection Regulation (GDPR).

We are committed to maintaining the highest standards when collecting and using personal information and we will continue to monitor our procedures and update our policy as necessary.

Personal information is collected and stored to enable us to provide our services to our customers and to offer our services to companies with a legitimate interest, with content tailored to suit their interests.

Google Analytics

When you visit our websites we use Google Analytics (GA) to gather statistics about users, and the way they journey through our website and interact with it. While GA does record data such as your internet browser, operating system, geographical location etc, none of this personally identifies you to us. Any information we gather is to help us improve our website and make it more relevant for our users.

Cookies

We may also obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Once again this is to help us improve our website and deliver a better service for you. However, you can refuse to accept cookies by disabling them on your internet browser if you wish to. For your security, any information you provide us through your journey on the website is fully encrypted and you can see you are on a secure page because your browser will begin with https.

Website Resources

Should you choose to contact us using the “contact us” facility on our websites or submit a sample request or submit details to download resources, none of the data you supply will be stored by the websites or passed to any third party data processor. Instead, the data will be collated into an email and sent to us.

Social Media

We also use social media to carry out marketing. This is done through Facebook Adverts, Twitter Promotions and LinkedIn Ads. We understand that other channels such as Instagram are a product of Facebook and are therefore governed under the same data processing policy. We also understand that Facebook is a data processor on behalf of EU advertisers and businesses. We obtain analytics data from Facebook who processes data on an advertiser’s behalf in order to measure the performance and reach of advertising campaigns and report back insights about the people who saw and interacted with the ads.

Email Marketing

Where we believe there is a legitimate interest for you to receive an email/newsletter on our product or services because you are on our internal database as a subscriber, then the email address for you will be forwarded to “Mail Chimp” who provide us with email marketing services. We consider Mail Chimp to be a third party data processor. Your email address will remain within Mail Chimp’s database for as long as we use their services or until you request removal from the database. You can request removal from the list by unsubscribing using the unsubscribe link that is contained on every email marketing piece. We gather statistics around email opening and clicks and this is all to help us improve our marketing campaigns.

Data Management System

Customer data is stored on our CRM system called Super Office and where relevant on our Sage Accounting software. This is only to ensure we can deliver to you the service you require. Both software packages are well protected and we utilise Anti-Virus and Malware software. We keep your personal data for no longer than reasonably necessary for us to provide our service to you and we have put in place suitable physical, electronic and managerial procedures to protect your information.

Please be aware that Axis House Ltd does not control and is not responsible for websites that are referred to or linked from its own websites and that use of your personal information on these websites is not subject to this Privacy Policy.

Our Employee Data Privacy Notice outlines how we control and protect the information you provide as part of your recruitment process or as an Employee of Axis House and this information is not made available to anyone outside the recruitment team or payroll team.

You may exercise your right to have your personal data removed from our records at any time by emailing rob.farrant@intrasystems.co.uk. You also have a right to ask for a copy of your information and to correct any inaccuracies.
